Community Provider Requirements

Thank you for your interest in becoming a community provider with iLEAD. Our credentialed teachers guide families in the selection of academic materials and services from our approved community provider list that support the educational goals of the learner. Community Providers must provide an educational resource or service and undergo an application process to be approved.

We require all potential community providers to be requested by an iLEAD family. All new community provider requests are first reviewed by the learnerโ€™s educational facilitator to ensure the community provider provides a service/material that supports the learnerโ€™s educational goals. The EF will help determine if the community providerโ€™s materials/services can be accessed through an existing community provider and/or if the materials/services are necessary to support the learnerโ€™s individualized learning plan and assignment work record (ILP/AWR).

Materials

    • Have an active website (not including social media accounts)
    • Go through the application process to be approved
    • Not sell religious or sectarian content to iLEAD learners using instructional funds
    • Accept purchase orders to be paid after materials are received (net 30)
    • Not be employed by iLEAD
    • Submit a W-9

 

Services

  • Provide an educational service supporting learner goals
  • Must have an active and working website that reflects the community providerโ€™s services (not a social media page)
  • Must complete an online community provider application and agree to all iLEADโ€™s terms
  • Must be a general education community provider. This process is not for community providers whose services include therapy, assessments, and similar.
  • Not sell, use, or teach religious or sectarian content to iLEAD learners using instructional funds
  • Not charge additional fees (application fee, assessment fee, dues, third-party/facility fee, etc.)
  • Community provider rates must be basic/economical and industry standard.
  • Accept purchase orders from iLEAD to be paid after services have been rendered and a correct invoice has been submitted (net 30)
  • Provide copies of business license, liability insurance, and W-9
  • Complete a LiveScan (fingerprinting) for each instructor working directly with learners or provide an ORI #
  • Must be 18 years or older and legally authorized to work in the United States
  • Not be licensed/registered as a private school
  • Not be employed by iLEAD

FAQ

Do learners receive instructional funds and use them with the community providers directly?

Instructional funds are allocated for learner use, but they are still considered school funds. Following certain guidelines, families will collaborate with their educational facilitator to make decisions that benefit the educational path of their learner(s).

Why do community providers need proof of insurance?

It is in the community providerโ€™s best interest to have insurance coverage to protect themselves and their learners from any potential damages. iLEAD requires insurance coverage to protect our community providers and learners.

What are the insurance requirements?

Community providers must have a minimum of $1,000,000 in liability insurance / $2,000,000 General Aggregate insurance with iLEAD listed as Additional Insured, a Waiver of Subrogation, and a Primary and Noncontributory endorsement in favor of iLEAD.

Note: High-risk community providers may have additional insurance requirements.

Why do community providers need a business license?

If the city that a community provider works in requires a business license for their type of business, then iLEAD requires a copy/proof of the license.

Why are LiveScans required for online community providers?

As a California public school, all instructors who have direct contact with iLEAD learners (in-person, via Zoom or similar platforms) must clear a fingerprint background check (LiveScan) from the DOJ before working with iLEAD learners.

Why do community providers need a website?

We require that all potential community providers have an active website. A website gives us a clearer picture of the services community providers will be offering our iLEAD learners. It also shows us that a community provider is available to the community around them. iLEAD cannot accept social media pages in lieu of a website, as not all families have access to social media platforms.

How long does it take to complete the application process?

  • Timing can vary. Once the initial application has been received and reviewed, it is up to the community provider to submit all supporting documentation. LiveScan results come from the Department of Justice, and times vary widely.
  • Minimum approval time is about one month.

Why does iLEAD require all potential community providers to be requested by an iLEAD family?

  • iLEAD strives to have high-quality community providers that are a good fit for our program.
  • iLEAD does not want potential community providers to incur unnecessary expenses for becoming a community provider if they are not going to be used in our program.

Why would a community provider not be approved?

A provider may not be approved in the following cases:

  • If a provider is unable or unwilling to agree to iLEADโ€™s terms.
  • If a provider does not meet iLEADโ€™s requirements.
  • If the provider is not a good fit for iLEAD.

NOTE: The school does not disclose reasons for not adding a provider, as it can be confidential.

What are the steps to become a community provider?

  • A family requests a community provider through their Educational Facilitator.
  • The Educational Facilitator reviews the provider’s services in light of our requirements and current needs.
    • If the community provider is a good fit for iLEAD, the Educational Facilitator will submit a New Community Provider Request Form to the Community Provider Department for further evaluation.
    • If the community provider is not a good fit for iLEAD, the Educational Facilitator will inform the family.
  • The Community Provider Department will evaluate the New Community Provider Request to confirm that the community provider is a good fit for iLEAD.
    • If the community provider is a good fit for iLEAD, the Community Provider Department will send the community provider an application link.
    • If the community provider is not a good fit for iLEAD, the Community Provider Department will notify the Educational Facilitator.
  • The community provider submits an online application for the Community Provider Department to further evaluate.
    • If further clarification is needed, the Community Provider Department will reach out to the community provider to clarify.
    • If the community provider is a good fit for iLEAD, the Community Provider Department will request supporting documents from the community provider.
    • If the community provider is not a good fit for iLEAD, the Community Provider Department will inform the community provider. The Educational Facilitator will be notified as well.
  • The community provider submits supporting documentation (W-9, business license, and insurance) for approval.
    • Some adjustments may need to be made to the community providerโ€™s insurance depending on what is submitted.
  • The community provider pays to LiveScan all instructors who will have direct contact with iLEAD learners and sends their LiveScan forms to the Community Provider Department.
  • The Community Provider Department awaits LiveScan results from the Department of Justice.
  • If the LiveScans clear and all other paperwork is approved, the community provider will be added to iLEADโ€™s approved community provider list.
  • The community provider will be sent a welcome email from the Community Provider Department with billing instructions and information on how our PO system works.
