Vendor Requirements
Thank you for your interest in becoming a vendor with iLEAD. Our credentialed teachers guide families in the selection of academic materials and services from our approved vendor list that support the educational goals of the learner. Vendors must provide an educational resource or service and undergo an application process to be approved.
We require all potential vendors to be requested by an iLEAD family. All new vendor requests are first reviewed by the learner’s educational facilitator to ensure the vendor provides a service/material that supports the learner’s educational goals. The EF will help determine if the vendor’s materials/services can be accessed through an existing vendor and/or if the materials/services are necessary to support the learner’s individualized learning plan and assignment work record (ILP/AWR).
Materials

- Not sell religious or sectarian content to iLEAD learners using instructional funds
- Accept purchase orders to be paid after materials are received (net 30)
- Not be employed by iLEAD
- Submit a W-9
Services
- Provide an educational service supporting learner goals
- Must have an active and working website that reflects the vendor’s services (not a social media page)
- Must complete an online vendor application and agree to all iLEAD’s terms
- Must be a general education vendor. This process is not for vendors whose services include therapy, assessments, and similar.
- Not sell, use, or teach religious or sectarian content to iLEAD learners using instructional funds
- Not charge additional fees (application fee, assessment fee, dues, third-party/facility fee, etc.)
- Vendor rates must be basic/economical and industry standard.
- Accept purchase orders from iLEAD to be paid after services have been rendered and a correct invoice has been submitted (net 30)
- Provide copies of business license, liability insurance, and W-9
- Complete a LiveScan (fingerprinting) for each instructor working directly with learners or provide an ORI #
- Must be 18 years or older and legally authorized to work in the United States
- Not be licensed/registered as a private school
- Not be employed by iLEAD

Do learners receive instructional funds and use them with the vendors directly?
Instructional funds are allocated for learner use, but they are still considered school funds. Following certain guidelines, families will collaborate with their educational facilitator to make decisions that benefit the educational path of their learner(s).
Why do vendors need proof of insurance?
It is in the vendor’s best interest to have insurance coverage to protect themselves and their learners from any potential damages. iLEAD requires insurance coverage to protect our vendors and learners.
What are the insurance requirements?
Vendors must have a minimum of $1,000,000 in liability insurance / $2,000,000 General Aggregate insurance with iLEAD listed as Additional Insured, a Waiver of Subrogation, and a Primary and Noncontributory endorsement in favor of iLEAD.
Note: High-risk vendors may have additional insurance requirements.
Why do vendors need a business license?
If the city that a vendor works in requires a business license for their type of business, then iLEAD requires a copy/proof of the license.
Why are LiveScans required for online vendors?
As a California public school, all instructors who have direct contact with iLEAD learners (in-person, via Zoom or similar platforms) must clear a fingerprint background check (LiveScan) from the DOJ before working with iLEAD learners.
Why do vendors need a website?
We require that all potential vendors have an active website. A website gives us a clearer picture of the services vendors will be offering our iLEAD learners. It also shows us that a vendor is available to the community around them. iLEAD cannot accept social media pages in lieu of a website, as not all families have access to social media platforms.
How long does it take to complete the application process?
- Timing can vary. Once the initial application has been received and reviewed, it is up to the vendor to submit all supporting documentation. LiveScan results come from the Department of Justice, and times vary widely.
- Minimum approval time is about one month.
Why does iLEAD require all potential vendors to be requested by an iLEAD family?
- iLEAD strives to have high-quality vendors that are a good fit for our program.
- iLEAD does not want potential vendors to incur unnecessary expenses for becoming a vendor if they are not going to be used in our program.
Why would a vendor not be approved?
A vendor may not be approved in the following cases:
- If a vendor is unable or unwilling to agree to iLEAD’s terms.
- If a vendor does not meet iLEAD’s requirements.
- If the vendor is not a good fit for iLEAD.
NOTE: The school does not disclose reasons for not adding a vendor, as it can be confidential.
What are the steps to become a vendor?
- A family requests a vendor through their Educational Facilitator.
- The Educational Facilitator reviews the vendor’s services in light of our requirements and current needs.
- If the vendor is a good fit for iLEAD, the Educational Facilitator will submit a New Vendor Request Form to the Vendor Department for further evaluation.
- If the vendor is not a good fit for iLEAD, the Educational Facilitator will inform the family.
- The Vendor Department will evaluate the New Vendor Request to confirm that the vendor is a good fit for iLEAD.
- If the vendor is a good fit for iLEAD, the Vendor Department will send the vendor an application link.
- If the vendor is not a good fit for iLEAD, the Vendor Department will notify the Educational Facilitator.
- The vendor submits an online application for the Vendor Department to further evaluate.
- If further clarification is needed, the Vendor Department will reach out to the vendor to clarify.
- If the vendor is a good fit for iLEAD, the Vendor Department will request supporting documents from the vendor.
- If the vendor is not a good fit for iLEAD, the Vendor Department will inform the vendor. The Educational Facilitator will be notified as well.
- The vendor submits supporting documentation (W-9, business license, and insurance) for approval.
- Some adjustments may need to be made to the vendor’s insurance depending on what is submitted.
- The vendor pays to LiveScan all instructors who will have direct contact with iLEAD learners and sends their LiveScan forms to the Vendor Department.
- The Vendor Department awaits LiveScan results from the Department of Justice.
- If the LiveScans clear and all other paperwork is approved, the vendor will be added to iLEAD’s approved vendor list.
- The vendor will be sent a welcome email from the Vendor Department with billing instructions and information on how our PO system works.
